The reception card, after the desk has gone home.
Patients already write on WhatsApp to ask if the doctor is in, what it costs, and where to park. The assistant answers that list. It does not practise medicine.
Three lanes, written down before launch
A dental clinic, a diagnostic centre, and a multi-specialty practice share the shape and not the list. Insurance names, fees, and the duty phone are yours. The refusal of clinical questions is ours to test.
| Lane | Examples | Where it lands |
|---|---|---|
| The assistant answers | Hours, the consultation fee you are willing to publish, address, parking, what to bring, and insurers you have written onto the list. | The patient gets that answer. It is the same text as the card at the desk. |
| The assistant collects | Name, age if you ask for it, and a symptom category only as a label for the desk, such as “tooth pain” or “new patient”. | If the diary is not connected, the message says the desk will confirm. No slot is promised. |
| The assistant refuses | Which medicine to take, whether a wound looks infected, a lab value, a dose after surgery. | The thread goes to the duty number the clinic gave us, with the patient’s phone number. The assistant does not continue the clinical conversation. |
The assistant is for the hour the desk is closed. The answers are the ones a receptionist would read off a card.
Hours, fees, address, parking, and empaneled insurers go on the list. A fee you do not want in writing stays off it.
We ask clinical questions on purpose during testing. One wrong medical answer keeps the number offline.
The handoff includes the patient’s number and the question. Staff attendance is WorkClave, not this chat.
What the practice asks
- Will it book a slot on its own?
- Only if it can see the diary. If it cannot, it takes the patient’s name, phone number, and what the visit is for, and says the desk will confirm. It does not invent a time.
- Can it answer a patient who writes at 9pm about pain after a procedure?
- No. Prescriptions, diagnosis, and “is this serious” are refused and handed to the number the clinic names. We test those refusals before the assistant is public. A wrong clinical answer blocks launch.
- Can reception keep using the WhatsApp app on a phone?
- Not for this assistant. Replies as the business, through an assistant, need the WhatsApp Business API. The phone app can stay for the personal chats of the staff. It is not the inbox the assistant uses.
- What do we pay you, and what do we pay Meta?
- Setup, integration, and Meta verification are ₹15,000. Support is ₹3,000 a month. Meta’s per-message charges are separate, and we list them before you commit. The ₹15,000 does not include a computer AMC or staff attendance.
